Business Operations Associate, International

This position provides proactive support to the International sales team and business-to-business customers. This position provides direct support to the international sales team in the areas of order entry, invoicing and global customer interaction. This role is active, busy, and focused on creating excellent business-to-business customer transactions with Highlights International, supporting the team drive for business results.

Core Responsibilities:

  • Support sales for the distribution business including the creation of quotes and invoices, order processing, inventory forecasting, warehouse communication and shipping documentation.  The role will also coordinate internal relationships related to this business, with direction from the Director.  Responsibilities include:
  • Create and maintain customer accounts, financial transactions, maintain inventory, and provide reporting using BookMaster and Salesforce
  • Manage order invoicing and coordinate with accounting and the warehouse to ensure proper adjustments in financials and inventory
  • Create necessary shipping documentation and solve issues related to customs rules/regulations for distribution orders and liaise with outside vendors and the warehouse to ensure smooth delivery of materials
  • Review, investigate and reconcile errors and inconsistencies in account balances to ensure accuracy of order and financial status
  • Lead support for sales opportunities derived from territory manager or agents, including account follow ups, file requests, project progress, sampling, contract assistance, and account financial status
  • Execute, as needed, sample requests, shipping documentation, quotes and invoices and administrative work for international business at large
  • Familiarize and become knowledgeable in areas regarding current products, business models, pricing, order entry, and any shipping or order fulfillment concerns
  • Strengthen relationships with customers by interpreting needs, solving complex customer concerns, and offering suggested resolutions to provide exceptional customer experiences

  • Remain aware and knowledgeable of industry trends, best practices, and advances in technology that impacts International and the customer

Qualifications and Requirements:

  • Bachelor’s Degree required
  • 2+ years’ experience in a B2B support or accounting role preferred
  • Proactive, audience-oriented problem solving and communication skills
  • Must be detailed oriented with excellent follow up skills
  • Ability to multi-task and handle multiple job functions simultaneously
  • Ability to work independently based on given direction and ongoing supervision
  • Foreign language skills are a plus
